Softscotch Launch builds and runs websites, a CRM, phone and messaging follow-up and performance reporting for trade businesses. This page covers two kinds of people: our customers, the businesses who sign up, and their customers, the people who contact those businesses through a website, phone number or chat we run for them.
What we collect from our customers
- Your name, email address and a password (stored only as a one-way hash).
- Everything you tell us about your business when you onboard: services and prices, the areas you cover, opening hours, licences and guarantees, contact details, and your brand preferences. If you ran our free audit first, its results.
- Your plan and payment status. Card details are handled by our payment provider, not us.
- Anything you send us through the dashboard, such as tasks, replies and requests.
- If you connect marketing accounts (Google Analytics, Search Console, Business Profile, Google Ads or Meta Ads), the performance figures from them: visits, searches, calls from your profile, ad spend, clicks and leads. We read these; we do not change your accounts.
- Your website’s uptime and speed, which we check automatically every few minutes and every week.
What we collect from the people who contact you
- Forms and chat. What they typed (usually a name, an email or phone number and a message), the page they sent it from, and chat conversations on your website.
- Phone calls. Calls to a tracking number we manage are logged with the caller’s number, time and length. Where recording is switched on, the call is recorded and transcribed, and callers hear that first.
- Our AI phone and website voice assistant. When the assistant answers a call you missed, or a visitor uses “Talk to us” on your website, it tells them it is an AI assistant and that the conversation is recorded. We keep the recording, the transcript and the details they gave (such as name, callback number, the job and any appointment booked).
- Texts and emails sent to and from your customers through the dashboard.
That information belongs to you: it appears in your CRM and is used for the follow-up you have set up. We do not use it for anything else and we do not sell it. People can reply STOP to texts or unsubscribe from emails at any time.
Our own chat assistant
Conversations with the assistant on softscotch.com are stored so we can see what people ask and improve the answers. If you give it an email address, we treat that as a request to hear from us. Conversations with the assistant inside your dashboard are stored against your workspace for the same reason.
Who else processes it
We use a small number of services to run the product, each only for its part:
- Hetzner: the server that hosts the website, dashboard and database where all of the above is stored.
- Cloudflare: the network that carries traffic to that server and protects it from attacks.
- Dodo Payments: taking payments and managing subscriptions.
- Amazon SES: sending and receiving email.
- Twilio: phone numbers, call forwarding, call recording and text messages.
- Retell AI: the voice of the AI phone and website assistant. It processes the call audio and transcript.
- Anthropic, reached directly or through OpenRouter: the AI model that writes your pages and answers chat and phone questions. It receives the business details and conversation needed for that work.
- Windsor.ai: collecting figures from the marketing accounts you connect.
- DataForSEO and Google PageSpeed: search rankings and site speed.
- RunCloud and Hetzner: hosting your WordPress website.
- Google: calendar sync, only if you connect a Google Calendar.
How long we keep it
For as long as your account is open. Uptime checks older than 90 days are deleted automatically. If you cancel, email us and we will delete your workspace and everything in it: your business details, CRM, leads, call recordings and transcripts. Your website, domain and Google profile stay yours either way.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Someone who contacted one of our customers should ask that business first; we will act on the business’s instruction, and we will help either of you if you write to us at [email protected].
Cookies
We use cookies to keep you signed in, to remember which workspace you are in, and to remember whether you chose a light or dark theme. We do not use advertising or cross-site tracking cookies in the product.
